Getting Paid 12 Days Faster With Automated Invoicing

Overview
Fernhill Studio is a creative agency based in Portland. They were busy and growing, but cash always seemed to arrive late. They asked us to fix the gap between finishing work and getting paid.

Challenge
Invoices went out weeks late, and chasing payments fell to whoever had a spare minute.
Project managers tracked billable work in a spreadsheet, and finance built invoices from it at the end of each month. Reminders were emails written by hand, usually after someone remembered. Clients took about 47 days to pay on average, and a few invoices slipped through completely. The team was doing great work and still watching the bank balance.

Solution
Invoices now go out the day work is approved, and reminders run on their own.
We connected their project tool to the accounting software, so an approved milestone creates a draft invoice automatically. Finance gives it a quick check, and it goes out with a payment link. Reminders follow at set intervals, and anything overdue is flagged to finance with the full project history attached.

Faster payment
02
Manual follow-ups
03
Saved per week
04
Invoices paid on time
Fernhill now gets paid 12 days sooner, without a single chasing email written by hand. Invoices go out on time, and cash flow is no longer a monthly guessing game. Finance can plan ahead instead of reacting.
The same flow can handle retainers and recurring billing as the agency takes on new work. Project managers stay focused on clients, and nobody has to wonder whether an invoice was sent.
